The Scribe is in charge of documenting the meetings of the LVS Council, making notes for the benefit of absent council members and for future reference. The Host will request a scribe at the start of the meeting - any council member can volunteer.

A Scribe's responsibilities are DURING and AFTER the meeting.

Scribe duties

During the meeting

  • Record the attendance of everyone at the meeting hall, including anyone who arrives after the meeting officially begins. You should also review the pre-meeting agenda to see which council members have apologised for their absence
  • Your responsibility is documenting the meeting, recording discussions held and decisions made. They should be a faithful and accurate summary of what took place, as it is for the benefit of absent council members and for future reference - however, you are encouraged to summarise this with your own style and flair, especially if it involves humour. If you are unsure on a topic discussion, let the host know so you can work together to get an accurate summary of what has taken place. You should also record any player announcements, new members elected and who is hosting the following meeting.

Votes

Often a council comes to an agreement on a topic in an informal way. For larger matters that involve changes to the server, council, or council-adjacent things (such as regulations, warp mayors, or spawn end/markets) a proposal may need to come to a VOTE. To allow absent members to participate in these votes, they are carried across two meetings.

  • If you are scribing when a proposal is suggested, the council needs to agree on the WORDING of this proposal (IE "The council can have a maximum of 20 members at any given time"). Once this is agreed, make a note of this wording as you will need to place it in the pre-agenda for the following meeting
  • If you are scribing in the following meeting when a proposal needs to be voted on, you should record the result of the vote (pass/fail)

After the meeting

Once the meeting concludes, you need to put together the meeting notes on the wiki. Go to the ZEDLING COUNCIL page and click the red 'next meeting' link near the top. this will take you to a page to create the meeting notes. Link must be clicked.PNG Clicky click.PNG

Once you have submitted this, the page will be created. The last thing to do is then post the pre-agenda for the following meeting.

  • Go to the Zedwork Forum, and create a thread titled "[LVS] COUNCIL pre-meeting Agenda (date)", with the date being the meeting two weeks in the future.
  • Your post should include a link to the notes of your meeting using https://zedwork.co.uk/w/index.php?title=Latest_Notes, any topics that have been 'kicked' to the forum for further discussion, as well as the wording of any proposal scheduled to be voted on in the following meeting.
  • Invite members to post topics/apologies for the next meeting, and your job is done!

Format: [Attendance Strikes: 1] <*ref name="Zedling Council Meeting YYYY-MM-DD" /> (Remove asterisk before 'ref name) Where the date is the relevant meeting they were absent from

Any member who has received three attendance strikes should be removed from the list of Council Members and placed in the Previous Members section, with the date of when they first joined and the date of the meeting they received their third strike. Ensure you change the 'strikes last updated' to show that the strikes from that meeting have been allocated, and note you have updated the strikes in the edit history

Meeting Links
On the Zedling Council page, add the notes from your meeting to the Meeting Notes using the format provided. At the top of the page, edit the 'next meeting' page link (ready for the next scribe) and list who is hosting the meeting, as well as updating the forum link for that meeting's pre-agenda
